Staff Uniform Approval | Samples, Artwork and Sizes

Set practical approval stages for corporate clothing before decoration and dispatch.

Separate selection from production approval

First approve the style, colour and size range. Then approve the branding method and artwork placement. Treating these as separate decisions makes it easier to spot a mismatch before an order is decorated. Ask whether sample garments or physical branding samples are available, what they cost and how they affect the proposed schedule.

Assign an owner to each decision

One person should consolidate size quantities while another may need to approve the brand artwork. Make the responsibilities explicit and use a single final schedule. Mark superseded files clearly so an earlier logo or draft size list does not become the production reference. Avoid collecting informal approvals in several unconnected messages.

Record what happens after sign-off

Confirm the cut-off for changes and the process for substitutions, shortages or late staff additions. Personalised clothing may have different return conditions from blank garments, so establish those terms before approving decoration. Ask the receiving team to reconcile delivered quantities against the approved schedule and report discrepancies with product references and photographs where useful.

Use an approval checklist that can be signed

The final record should identify product codes, colours, fit and size quantities, artwork version, finished branding size and placement. Include the agreed delivery address and required handover date. A simple checklist helps an approver review these items independently rather than signing because the price looks correct. If a proof is shown on a generic silhouette, ask how it relates to the actual garment. Make any conditions explicit; an approval with unresolved notes can be misunderstood as permission to proceed.

Keep the received order traceable

At delivery, compare the items with the signed schedule while packaging and labels are still available. Count by product and size and inspect a sensible spread of branding positions across the order. Photograph any discrepancy clearly and keep the relevant reference numbers. Ask the supplier for its reporting process rather than making an undocumented alteration locally. The same records support later reorders, because they show what was actually supplied as well as what was requested.
